2Nature of Our Services
Conflict Coach (FZE) holds a service licence identifying the following activities:

3Professional Scope and Limitations
Our services are educational, developmental, and coaching-oriented. Unless separately and lawfully provided by appropriately licensed professionals, they do not constitute medical treatment, psychiatric treatment, psychotherapy, clinical diagnosis, or regulated healthcare. Coaching may explore psychological concepts, emotional experiences, behaviours, personal histories, and interpersonal patterns as part of learning and self-development. Using psychological concepts or assessment tools does not, by itself, constitute a clinical diagnosis. Where an individual's needs extend beyond the appropriate scope of our services, we may recommend consultation with another suitably qualified professional. Participation in exercises involving personal reflection or difficult experiences remains subject to appropriate discussion, consent, and professional boundaries.
4Client Responsibilities
Clients are expected to participate respectfully and provide information that is reasonably accurate and relevant to their engagement. Coaching outcomes depend partly on the client's willingness to reflect, practise agreed skills, and apply learning outside sessions. Clients remain responsible for their decisions, conduct, and actions. Conflict Coach cannot control the choices or behaviours of other people involved in a client's relationships, workplace, or personal circumstances. Clients should communicate any concerns about agreed activities, boundaries, or the suitability of services.
5Discovery Calls and Initial Consultation
Conflict Coach may offer an introductory discovery call to discuss an individual's circumstances, objectives, service suitability, and potential next steps. Unless expressly stated otherwise, a discovery call is not a full coaching session or clinical assessment. The purpose is to establish an initial understanding of the enquiry and whether a proposed service may be appropriate. Further assessment, documentation, proposals, or sessions may be recommended before an engagement begins.
6Bookings and Appointment Confirmation
Appointments may be requested through approved communication channels, including our website, Willow, WhatsApp, or direct correspondence. Submitting a request does not guarantee an appointment. A booking is confirmed only when Conflict Coach or its authorised booking system issues confirmation. Clients are responsible for reviewing the date, time, location, format, and any relevant instructions. For online appointments, clients should arrange a suitable internet connection and a reasonably private environment.
7Cancellation and Rescheduling
Cancellation, rescheduling, late-arrival, and non-attendance arrangements are governed by the conditions communicated through the relevant booking confirmation, proposal, or service agreement. Any applicable fees or restrictions should be made available before the relevant commitment is made. Where Conflict Coach must change an appointment, reasonable efforts will be made to provide notice and arrange a suitable alternative. Refunds and other remedies remain subject to the applicable agreement and mandatory consumer protection requirements.
8Fees and Payment
Fees depend on the specific service, session duration, package, or agreed professional engagement. Prices, applicable taxes, payment schedules, and relevant conditions will be communicated before confirmation of paid services. Payments may be accepted through authorised invoicing, bank transfer, card payment, or other approved methods. Where lawful additional processing charges apply, they will be disclosed before payment. Additional services, extended sessions, or work outside the agreed scope may require separate approval and payment.
9Coaching Packages and Deliverables
Some services are offered as multi-session engagements or packages with defined deliverables. These may include assessments, communication frameworks, development plans, practical exercises, progress reviews, and individually tailored objectives. Deliverables may be updated by agreement to reflect emerging priorities, relevant client information, or changes in circumstances. A package does not guarantee a specific psychological, professional, or interpersonal outcome. Package validity, unused sessions, payment obligations, cancellations, and refunds are governed by the relevant engagement agreement and applicable law.
10Willow: Digital Receptionist
Willow is an AI-assisted digital receptionist that supports administrative communication and appointment scheduling. Willow may provide general service information, receive enquiries, check appointment availability, and coordinate routine booking requests. Willow is not a human receptionist, professional coach, medical practitioner, therapist, or emergency responder. Automated responses may contain errors or require clarification. Willow cannot independently change the agreed professional scope, pricing, confidentiality arrangements, or contractual obligations of an engagement. Sensitive professional matters and requests requiring individualised judgement should be referred to an authorised Conflict Coach representative.
11Google Calendar Integration
Conflict Coach may use Google Calendar to support appointment management through Willow. Where authorised, the integration may access scheduling information and create, modify, or cancel calendar events within the permissions granted by the connected account holder. A proposed appointment time is not guaranteed until confirmation has been issued. Authorised Google account holders can withdraw integration access through the relevant Google account controls. The handling of Google Calendar information is explained in our Privacy Policy. Clients do not need to connect their personal Google Calendars to book appointments.
12Assessments and Reports
Conflict Coach may provide assessments, questionnaires, personal development profiles, worksheets, and client-specific reports. These materials are intended to support learning, reflection, communication development, and the identification of coaching objectives. Unless explicitly identified as otherwise, assessment findings are not medical or psychiatric diagnoses. Reports may contain evidence-based observations, professional interpretations, and working hypotheses. These categories should not be treated as interchangeable. Clients may request clarification or identify information they believe is inaccurate. Assessment results cannot guarantee future behaviour, performance, or personal outcomes.
13Confidentiality and Information Protection
Conflict Coach aims to treat client information with discretion and appropriate safeguards. Confidentiality arrangements are explained in our Privacy Policy and any applicable individual engagement agreement. Confidentiality may be limited by legal obligations, safeguarding concerns, serious safety risks, or authorised disclosures. Group, couple, or facilitated engagements may require additional agreements regarding the handling of information shared between participants. Conflict Coach cannot guarantee the confidentiality of information subsequently disclosed by independent participants.
14Safety and Emergencies
Conflict Coach and Willow do not operate as emergency-response services. Anyone facing immediate danger should contact the appropriate local emergency service. In the United Arab Emirates, police emergencies may be reported through 999 and ambulance emergencies through 998. Individuals outside the UAE should use their local emergency numbers. Routine booking systems, automated messages, and coaching communications must not be relied upon for urgent intervention.
15Services Involving Children and Young People
Where services involve children or young people, appropriate consent, safeguarding arrangements, and parent or guardian participation may be required. Relevant confidentiality limits and responsibilities should be clarified before services begin. Services involving young people will be provided only where appropriate and within the scope of applicable authorisations.
16Intellectual Property
Original materials created by Conflict Coach, including educational frameworks, worksheets, reports, training materials, presentations, and development tools, remain the intellectual property of Conflict Coach (FZE) or their respective rights holders unless expressly agreed otherwise. Clients may use materials provided to them for their intended personal or internal professional development purposes. Unauthorised commercial redistribution, resale, sublicensing, or representation of those materials as another party's original intellectual property is prohibited, except where permitted by law. Clients retain rights in their own original information and materials, subject to any applicable agreement.
17Website and Digital Service Conduct
Users must not interfere with the security, performance, or availability of our website or connected services. Unauthorised access, impersonation, malicious activity, misuse of personal information, and unlawful use of digital services are prohibited. We may take reasonable action to protect our systems, staff, clients, and legitimate business operations. External websites or platforms may be subject to separate terms and privacy arrangements.
18Outcomes and Liability
Conflict Coach aims to provide services with reasonable care, professional integrity, and attention to the agreed scope. However, coaching, personal development, behavioural change, and conflict-management outcomes depend on multiple circumstances, including factors outside our control. We do not guarantee the resolution of a particular conflict, a change in another person's behaviour, or any specific personal, professional, or financial result. To the extent permitted by applicable law, Conflict Coach is not responsible for losses arising solely from independent client decisions or circumstances outside its reasonable control. Nothing in these Terms excludes liability or remedies that cannot lawfully be excluded.
19Ending or Pausing an Engagement
Clients may request to pause or end an engagement by communicating with Conflict Coach. Any remaining payment, session, refund, or administrative arrangements will be determined in accordance with the relevant agreement and applicable law. Conflict Coach may recommend concluding or referring an engagement when the requested services fall outside our professional or authorised scope, safety concerns arise, or appropriate working boundaries cannot be maintained. Where practical, we will explain the decision and relevant next steps.
20Governing Law and Dispute Resolution
These Terms are governed by applicable laws of the United Arab Emirates, including relevant mandatory legal requirements and the legal framework applicable to Conflict Coach (FZE). Any jurisdictional or dispute-resolution arrangements are subject to applicable law and any valid specific engagement agreement. Where a disagreement arises, we encourage the parties to first attempt reasonable and respectful communication. If the matter cannot be resolved informally, it may be referred to the appropriate legally competent authority or court.
21Privacy, Changes, and Contact Information
Personal information is handled in accordance with our Privacy Policy:
We may update these Terms when our operations, service arrangements, technology, or applicable legal requirements change. The current version will be published on our website. Material contractual changes to existing paid engagements will be handled in accordance with the relevant agreement and applicable law.
